A hands-on workshop showing small teams how to embed Notion AI into their day-to-day operations. Participants learn to query their workspace, summarise meeting notes automatically, generate SOP templates, and produce project-status digests. The session also covers guardrails for client-facing content to avoid embarrassing or inaccurate AI outputs. Format is live, screen-sharing practice with real team workspaces.
What you'll be able to do
- Set up and use Notion AI Q&A to retrieve answers from your own workspace pages
- Build a repeatable meeting-note-to-summary workflow that runs in under two minutes
- Generate a first-draft SOP template using Notion AI and edit it to match your team's tone
- Create a project-status rollup block that auto-drafts a weekly digest from database properties
- Apply a simple review checklist before sharing any AI-generated content with clients
Topics covered
- Notion AI Q&A: querying your own workspace content
- Automatic meeting-note summarisation workflows
- Building and refining SOP templates with AI assistance
- Project-status rollup automation across databases
- Prompt crafting inside Notion blocks
- Guardrails and review steps for client-facing AI output
- Organising pages and databases so AI retrieves reliably
Delivery
Delivered as a single full-day (or two half-day) live online session via Zoom or equivalent, with screen-sharing and a shared sandbox Notion workspace provided. Hands-on exercises account for roughly 65% of the time; facilitated discussion and Q&A make up the rest. Participants should bring their own Notion workspace credentials. A short pre-session setup guide is sent 48 hours in advance. Session recordings are shared with all participants for 30 days.
What makes it work
- Audit and tidy the workspace before the workshop so AI has clean content to work with
- Designate one internal 'Notion AI champion' to maintain prompts and templates after the session
- Establish a lightweight review rule (e.g., one human eyes all client-facing AI text) from day one
- Run a short retrospective four weeks post-workshop to surface what is and isn't working
Common mistakes
- Turning on Notion AI without structuring pages first, leading to poor retrieval quality
- Publishing AI-generated client deliverables without a human review step
- Using AI to write SOPs without involving the team members who actually follow them
- Treating every output as final rather than as a first draft to be edited
When NOT to take this
A team that has not yet committed to Notion as their primary tool and is still evaluating several note-taking platforms, they should pick and bed-in a tool before layering AI on top of it.
